AI Training That Gets Your Whole Team Actually Using It

Most AI training fails the same way. Someone shows a room full of people a few clever prompts. Everyone nods. A week later, the same three people who were already using ChatGPT are still using it, and everyone else has gone back to the old way.

Our training works differently because it starts with your team's actual work. Before any session, we collect real tasks from the people attending: the emails they write, the reports they build, the documents they search. Then we teach them to do those exact tasks with the AI tools your business has approved. People leave with work finished, not notes.

Microsoft's 2024 Work Trend Index found that 75% of knowledge workers surveyed were already using AI at work and 78% of those users were bringing their own tools (Microsoft and LinkedIn, May 2024). Your team is probably already using AI. Training is how you get them using the right tools, the right way.

Training formats

Format Length Group size Best for
Half-day workshop 3–4 hours Up to about 20 Getting a whole team started on approved tools
Full-day workshop 6–7 hours Up to about 20 Half-day content plus hands-on build time on real department tasks
Role-based series 4–6 weekly sessions 5–15 per track Teams that need depth: sales, operations, finance, admin, leadership
Leadership briefing 90 minutes Owners and managers Deciding what to adopt, what to allow and how to measure it

Half-day workshop

The starting point for most teams. Everyone learns the approved tool, the rules for what data can go in and five to eight techniques applied to their own tasks. Each person leaves with at least three tasks they can do faster the next morning.

Full-day workshop

The half-day content in the morning. In the afternoon, people split by department and build: saved prompts, reusable templates or a simple custom GPT or Gemini Gem for a job they do every week.

Role-based series

Four to six weekly sessions per role. Weekly spacing matters. People try what they learned on real work between sessions, bring back what broke and fix it with us. Adoption sticks better this way than in a single day.

Leadership briefing

For owners and managers. What AI can and can't do in your business, what your team is likely already doing, how to set policy and how to tell whether any of it is paying off.

What the curriculum covers

Every session is customized, but the backbone looks like this:

  1. The rules first. What tools are approved, what data can and can't go in, and why. Tied to your AI use policy if you have one, or a starter version if you don't.
  2. How these tools actually work. Enough to know why AI makes things up, when to trust it and when to check.
  3. Writing and editing. Emails, proposals, summaries, job descriptions, customer replies. Drafting in your company's voice.
  4. Working with documents. Summarizing long files, pulling key terms, comparing versions, turning notes into a structured report.
  5. Data and spreadsheets. Asking questions of a spreadsheet, building formulas, cleaning lists, spotting what changed.
  6. Research with verification. Using AI to research, then checking every claim that matters. This is where most mistakes happen.
  7. Building reusable assets. Saved prompts, templates, custom GPTs or Gems, so good work becomes repeatable.
  8. Your department's tasks. Live practice on the work attendees brought in.

Which tools we train on

The tools your business already pays for or has approved. That's usually one of these:

  • Microsoft 365 Copilot for Microsoft shops (we also handle the rollout itself)
  • Gemini in Google Workspace for Google shops
  • ChatGPT Business or Claude Team for teams that want a general-purpose assistant

Not sure which one fits? A short readiness assessment or the free call will settle it. We won't train your team on free consumer accounts for work involving client data.

On-site or remote

We run on-site workshops at your office anywhere in the Kansas City metro, and live remote sessions for distributed teams. On-site works better for the hands-on portions. Remote works well for role-based series, where sessions are shorter and people practice at their own desks between meetings.

What it costs

  • Half-day workshop: most Kansas City engagements land between $1,500 and $3,500 for up to about 20 people.
  • Role-based series: most land between $4,000 and $10,000 over four to six weeks.
  • Full-day workshops and leadership briefings are quoted per group after the free call.

Prices include prep, customization from your team's real tasks, all materials and a recording or written guide your team keeps. Licenses are separate. See full pricing.

Training for regulated work

Law firms, accounting firms and healthcare practices need extra care. We train on the confidentiality and data-handling rules that apply to your work and keep client and patient data out of exercises. If you don't have written AI rules yet, our AI policy and governance package pairs well with training.

Frequently asked questions

Our team has mixed skill levels. Will this work for everyone?

Yes. We survey attendees beforehand and pair beginners with people who already use AI. Exercises have a basic version and a stretch version, so the person who has never opened ChatGPT and the person who uses it daily both leave with something useful. Role-based series split groups further by job, which also evens out skill gaps.

Do you train on our real documents?

We use real tasks, with sensitive details removed or swapped out. Before the session, we collect examples from attendees and scrub client names, financial figures and personal data. If your approved tool is configured for business use, people practice on their own live work during build time, inside your rules.

What if we haven't picked an AI tool yet?

Then a leadership briefing or a short readiness assessment comes first. Training people on a tool you might not keep wastes their time. In some cases we run the workshop on a business-plan trial so the team can test a tool before you commit to licenses.

How do you know the training worked?

We survey attendees before and two to four weeks after: which tasks they now use AI for, how often and roughly how much time it saves. For role-based series we track tasks completed with AI week by week. You get a short report with the results and the people or teams that need a follow-up.

Can you train new hires after the initial sessions?

Yes. We provide a recorded version and written guide your team keeps for onboarding. For companies hiring steadily, a fractional AI lead retainer covers new-hire training, refresher sessions and updates when the tools change, which they do several times a year.

Is this a general ChatGPT class?

No. General classes teach prompts. We teach your team to do their own jobs with the tool your business has approved, under your rules. Every session starts from tasks attendees brought in, and the techniques we cover are the ones that fit those tasks. That's why people keep using it after we leave.
